As a Front Office Administrator in their dynamic team, you’ll play a crucial role in maintaining their exceptional standards and contributing to their continued success.
Our ideal candidate is a master multitasker who possesses exceptional communication skills, a high degree of professionalism, and the ability to thrive in a unique and fast-paced environment. You’ll need to be personable, a quick learner, and passionate about supporting a team of experienced professionals.
Your Qualifications:
- Associate or Bachelor’s degree preferred
- Previous administrative office experience required
- Proficiency in data entry, organizational skills, and file management
- Flawless drafting, editing, and proofreading abilities
- Meticulous attention to detail and deadline management
- Strong ability to work independently and within a team
- Advanced PC skills, including MS Office suite
- Problem-solving and decision-making aptitude
- Reliable, punctual, and a team player
- Valid driver’s license
Your Responsibilities: As their Administrative Assistant, you’ll be involved in various aspects of their operations, including but not limited to:
- Receptionist Duties:
- Answering incoming calls
- Greeting visitors with a warm welcome
- Managing deliveries and processing mail
- Office Manager Support:
- Ordering and replenishing office supplies
- Scheduling meetings and arranging conference rooms
- Maintaining Outlook contacts
- Assisting with holiday and event mailings, providing support for trade show preparations
- Managing the company’s auto fleet
- Managing subscriptions and licences
- Preparing weekly production schedules
- Project Administrator Support:
- Crafting detailed meeting reports
- Generating and managing document transmittals
- Scanning, filing, and updating documents and spreadsheets
- Precise data entry and record-keeping
- Handling copying, document binding, and printing
- Compiling and organizing meeting materials
