Overview

The Front Office Coordinator manages a variety of front office functions and is key to smooth operation of a dynamic outpatient wound care center as well as performs general office duties to assist the staff of the Wound Care Center.

CLERICAL SKILLSResponsible for greeting patients, general public and vendors. Maintain appointment scheduling and documentation of rescheduling and missed visits. Verification of insurance benefits, obtain prior authorization for all wound care services both facility and physician and enters data in appropriate databases. Maintains all patient communication needs including scheduling, rescheduling, and appointment reminders. Also works and schedules for provider, according to the care continuum model. Collects and enters patient charges in databases. Verifies and reconciles charges as directed, prepares monthly patient survey data and appropriate documentation, then transmits to providers. Assembles new patient charts, maintains and files existing patient charts, and spot checks charts for data completeness and signatures. Maintains office equipment and supplies as needed, and medical supplies as directed. Performs other duties as required.

EFFICIENCYSeeks and recognizes work to be done, reviews new patient charts for completion of consents, patient medical history and ensures prior records are available. Communicates with clinical staff of delays or concerns in the best interest of patient and their safety. Uses free time constructively (minimizing delays), is enthusiastic to learn.

ORDERS, PERTINENT HIST AND CHARGESCan accurately select the differences in procedure descriptions, CPT codes, authorizations, ICD-10 and their impact on patient financial responsibility. Provides estimation of charges and collection co-insurance and/or co-pays as applicable per patient insurance benefit.

COMMUNICATIONListens and communicates effectively with patients, medical staff, nursing staff and nursing supervisor. Responds positively and openly to suggestions, follows direction, retains and integrates suggestions, communicates in a team building manner, shows respect for those around them (patients, providers and coworkers).

Works with medical staff offices to obtain H/P, progress notes, consults, lab work and related outside ancillary services.Coordinates with Center leadership to maximize daily patient census. Actively participates in staff meetings to support key functions within the Center. Greets patients and other visitors, answers and routes calls to appropriate staff.

Minimum EducationHigh School Diploma or GED x Preferred

Minimum Work ExperienceTwo or more year’s office administration experience, preferably in a medical setting.Prior medical coding experience preferred

Required SkillsMust have strong customer, interpersonal and communication skills, both orally and in writing. Effective human relations skills are required for interfacing with team members of all professional levels to include patients and general public. Must possess the ability to effectively function in a fast paced environment and to work on multiple projects at the same time while maintaining attention to detail including organization and time-management skills. Ability to maintain confidentiality, perform basic math skills, type 60 words per minute (wpm), be proficient in Microsoft Office (Word, Excel, Outlook). Must possess the ability to use the following equipment; Telephone, fax machine, calculator, copier, computer and adapt to new technology as it becomes available and necessary for the job.Keeps Work Area Clean and Hazard Free
