Legal Secretary – Kansas City, MO (Onsite)
Job Description:
ARC Group is currently recruiting for a client's law firm that focuses on employment law. We are seeking a highly proficient Legal Secretary to support 4 partners and associates. This is a full-time, onsite position with hours from Monday to Friday, 8:30 am to 5:00 pm. The ideal candidate will have strong proficiency in Word and PowerPoint, experience with e-filing, and prior litigation experience.
Responsibilities:
- Customer Service: Answer main phone lines, direct calls, and greet clients and vendors.
- Mail Management: Ensure all mail (regular, certified, and overnight) is sent out of the office promptly.
- Legal Research: Conduct legal research as needed.
- Document Preparation: Perform e-filings, prepare pleadings notebooks, update indexes, prepare exhibits, and organize files.
- Drafting: Draft standard pleadings, correspondence, memoranda, and other documents.
- Vendor Management: Review vendor invoices for accuracy, prepare check requests, and submit invoices for payment.
- Billing: Apply client-specific billing guidelines, review and submit prebills and client bills.
- Clerical Skills: Perform tasks such as typing, transcribing, word processing, managing mail and contacts, creating spreadsheets and presentations.
- Filing: Accurately file court documents electronically and physically, adhering to local or judge-specific requirements.
- Organization: Record and disseminate information (mail, interoffice mail, email) on behalf of clients and attorneys.
- Support Attorneys: Anticipate and prepare for attorney needs, draft correspondence, and prepare legal documents.
- Calendar Management: Review and follow-up on client deadlines and calendar appointments.
- Meeting Coordination: Arrange meetings, depositions, mediations, and other necessary appointments.
- Professional Development: Assist attorneys with CLE compliance, presentations, training programs, and other non-billable activities.
- Task Management: Juggle multiple assignments and deadlines while maintaining professionalism.
- Timekeeping: Accurately enter, review, and revise timesheets.
- System Maintenance: Develop and maintain systems for organization and efficiency.
- Policy Compliance: Adhere to office policies concerning file management, case lists, filing, and recordkeeping.
- Deadline Management: Effectively manage and monitor calendaring of deadlines and key dates.
Requirements:
- Education: Minimum of a high school diploma required; a college degree is preferred.
- Experience: 3+ years as a legal secretary.
- Technical Skills: Proficiency in Lexis Nexis, Pacer, ECF, Desksite or document management systems, CompuLaw, Concur, Word, Outlook, PowerPoint, and Excel.
- Attendance & Punctuality: Consistently on time and reliable.
- Communication: Excellent verbal and written communication skills.
- Customer Service: Promptly respond to attorney and client requests.
- PC Skills: Basic proficiency in PC use, phone systems, copier, scanner, fax, and printer.
- Typing Speed: Accurate typing at a net speed of 65+ wpm (shorthand/speedwriting is a plus).
- MS Office Proficiency: Strong skills in MS Office (Word, Excel, PowerPoint, and Outlook), document management systems, time entry, e-filing, and database software.
