Position Overview/Responsibilities for the Workplace Experience Assistant:

  • Coordinate with vendors, building managers, and landlords as needed.

  • Stay informed about the workspace conditions and submit janitorial and maintenance work orders as necessary, while coordinating with relevant partners to resolve any issues.

  • Oversee and manage the cleanliness and safety of assigned buildings, areas, kitchens, and equipment. Conduct daily inspections of the building, reporting and escalating any issues to your lead and team members as needed.

  • Help with setting up and cleaning conference rooms, including monitoring the schedule and offering support during meetings.

  • Process all incoming and outgoing US Mail, FedEx, UPS, and internal mail. Operate automated mailing and shipping equipment.

  • Manage and organize office and pantry supplies for the Tallgrass facility, ensuring they are well-stocked and maintained.

  • Support special projects as required and as directed by the Facilities Manager.

  • Regularly checks the Corporate Facilities email.

  • Responds to customer requests and complaints professionally and promptly with accurate and thorough information according to the specific request.

  • Ensures the accuracy and integrity of databases, supports data entry for required reports, and manages other digital tools related to service delivery as needed.

  • Maintain workplace experience master documents, spreadsheets, calendars, and floorplans.

Required Skills for the Workplace Experience Assistant:

  • Minimum of 2 years’ experience in office services, hospitality, workplace programs, space or floor planning analysis, facilities, and/or site management experience for a large company. 

  • Intermediate skills with Microsoft Office.
